ROLE PURPOSE:

The Program Implementation Support Senior Coordinator will assist the DCD-PI and Director of Program implementation with tasks such as documentation of major meetings within Ops and across-functions, and track the timely implementation of agreed actions. He/ She assists in compilation of monthly reports, analyses information and provides priorities for management action. The post holder must be multi-tasking, excellent and ability to work with diverse team. S/he is self-motivated and work under pressure.

SCOPE AND PURPOSE OF ROLE:

Reports to: Deputy Country Director- Programme Implementation, but also works extensively with Director of Program Implementation

Staff directly reporting to this post: None

Dimensions: Save the Children works in almost all regions of Ethiopia with a large number staff, and with expenditure of approximately $90+ million each year.

The role holder will:

Coordinate and participate in different tasks and activities for the DCD-PI and members of the CO Senior Operations’ Team when needed (50%)
Provide support to the Director of Program Implementation and the CO Leads of National and Humanitarian Programmes (50%)

KEY AREAS OF ACCOUNTABILITY:

  • Provide administrative support to the Operations Executive team within the program implementation function, including managing correspondences coming to and from the CO Program Implementation/ Operations Department;
  • Assist the DCD in analysis of operation management priorities and liase for smooth flow of information between CO operation senior team ( DCD, DPI, SCD, CoPs, Humanitarian Program Leads) and Area Offices, to ensure that adequate follow support is given for program implementation;
  • Assist the DCD-PI and DPI in organizing and documenting Ops senior team meetings and follow through implementation of agreed action points
  • Sensitize the monthly management report (MMRs) from Area Directors and support in prioritization of management support to Area and field offices
  • Compiling monthly management update on program implementation, including humanitarian and national programs, directly managed by the Director of Program Implementation
  • Coordinate compilation of briefing notes on specific projects or field /area offices for internal and external use
  • Liaise with Budget holders in documentation of major follow ups from air meeting, monthly updates to Regional office on high risk awards tracker and quarterly Ops report from cross-functional units
  • Attend external coordination meetings and/or follow up on issues as requested by DCD-PI or Ops leadership team
  • Owns the Ops deliverables tracker, and ensure key tasks are followed and completed on due time.
  • Facilitate information flow in cross functional coordination among the Ops team and the other functions such as PDQI, Awards and Partnership, Finance and HR
  • Working closely with the DCD-PI and DPI in travel and annual leave planning of Ops senior team
  • Makes appointments and schedules 121 and group meetings with the CoPs, Project Directors, DPI, SCD, Area Directors and updates the DCD-PI calendar
  • Travel to Area and field offices ( at least on quarterly basis), and assist in documentation and timely follow up of CO support
  • Manage and update digital platforms of Ops functions (including central resources stored in SC internal IntraNet), and send out regular updates to staff as to what is available in central resources
  • Ensure appropriate levels of confidentiality and data protection are maintained
  • Performs other related tasks as required;

Job Requirements

QUALIFICATIONS AND EXPERIENCE

  • Bachelor degree in Business, Management, Social Science, Communications or any other relevant field.
  • 5 years’ relevant experience of which 2 years relevant experience
  • Demonstrated knowledge in project management
  • Very organized and ability to prioritize tasks based on urgency and importance
  • Good planning and analytical skill
  • Computer literate – including the use of Internet, Microsoft Office and virtual meeting platforms
  • Good experience in organizing events
  • Self-motivated and ability to learn and adapt
  • Very good skill in report writing, drafting of important verbal
