Job Description


The Office Manager is responsible for overseeing the office management activities and facilitate the smooth running of an office, organizing people, information and other resources. The Office manager ensure that office equipment is maintained to the appropriate quality and quantity, relevant records are up to date and all office management process work effectively. The office manager will have the below responsibilities.

Duties and Responsibilities:

  •  Setting up and organize appointments, conferences and managing meeting rooms
  • Coordinating domestic and international travel, including flight, hotel/accommodation, and car rental reservations.
  • Provide general support to visitors and handle customer inquiries and complaints
  • Assist senior managers as appropriate to prepare and edit communications, mails, letters, presentations and other documents.
  • Manage managers’ schedules, calendars and appointments
  • Attending meetings with senior management & take minutes
  • Perform review and analysis of special projects and keep the management properly informed
  • Participate actively in the planning and execution of company events
  • Ensure security, integrity and confidentiality of data
  • Coordinate with IT department on all office equipment arrangement particularly configuring newly purchase desk top computers, lap tops, printers and mobile phones/any IT equipment’s as per the company working IT regulation
  • Maintain the office condition and arrange necessary repairs
  • Prepare and maintain record of various reports as needed in day-to-day office management tasks.
  • Preparing agreements and letter requested by GM and FM
  • Updating & sending the purchase order control sheet on daily basis
  • Follow up record of vehicle license Annual renewal, water permit renewal
  • Maintain records for vehicles; generator and other equipment services.
  • Assist in documentation between procurement to finance department.
  • Prepare and submit voucher renewal.
  • Any other relevant duty assigned by the immediate manager.

Job Requirements

  • BA Degree in management, business management, accounting or related business fields with a minimum 5 years’ direct experience in similar position.
  • Thorough knowledge of spoken and written English (MUST)
  • Strong Microsoft office skills (MUST)
  • Strong learning culture and positive attitude
  • Critical thinking, commitment to production
  • Cost Consciousness
  • Self-initiator with high degree of self-management
