Responsibilities:
- Responsible for coordinating with various operations groups for off-site meetings
- Selecting and scheduling venue, vendor negotiations, budget, vendor relationships and miscellaneous meeting support projects.
- Develops and recommends the venue site to improve the planning and execution of the meeting.
- Involved with high-level contacts, which encompasses the use of diplomacy, discretion, and independent judgment.
- Coordinates with external support services for all meeting activities including catering, transportation, AV consultants and installers, etc.
- Acts as a primary focus in maintaining and evaluating business relationships with vendors and internal services around meeting services.
- Schedules and processes online registrations for the meeting attendees to develop an accurate rooming list for the hotel venue.
- Monitors rooming list to resolve daily conflicts and questions from attendees. Coordinating resources for meetings if needed, and off-venue activities with the internal
- client.
- Monitors and tracks meetings operations budgets and expenditures.
- Work with various operations groups such as Sales and Finance, vendors, A/P and other groups within client’s financial system to ensure a smooth flow of financial
- documentation
- Prepares reports for tracking and flow of information and support functions by which meetings are planned and implemented.
- Assist internal clients in meeting planning and development by providing input regarding needs.
- Develops new and modifies existing meeting services tools by analyzing and researching processes and procedures to improve the quality of meetings.
- Implements short-term projects with well-defined deliverables such as assisting with budgets, hotel contracts, banquet event orders (BEO’s), minimal ancillary
- meetings and communication with management review.
- Ensures compliance to the client’s Corporate Procurement policies.
- Perform other duties as assigned.
Qualifications
- • Experience in sourcing, contracting, and planning meetings & events.
• Effective communication in English.
• Knowledge in the hotel industry and/or event management.
• Knowledge and practical experiences with meeting & RFP technology, Cvent) experience preferred.
