ORGANIZATIONAL DESCRIPTION

The Ethiopian Medical Association (EMA) is one of the first professional associations in Ethiopia and was stablished on July 2, 1962 G.C with 100 founding members through a formal charter granted to it by the then Emperor Haile Selassie I. EMA is member of World Medical Association since 1994 G.C.

EMA’s head office is based in Addis Ababa and has a presence in five regions represented by its ten regional branch offices (Gondar, Mekelle, Bahir Dar, Dessie, Jimma, Adama, Debre Markos Harare, Hawassa and Arba Minch). EMA has been operational for over 59 years on promoting quality of medical service in Ethiopia and evidence-based medicine through publishing the Ethiopian Medical Journal (EMJ). The mission of the association is to: Ensure that the community gets quality health service and care; Promote the highest standards in medical education, science, art and practice and Ensure the rights and benefits of medical professionals (doctors) and act as their voice.

JOB SUMMARY

Ethiopian Medical Association Research and Publication department is striving to contribute for the evidence based health policy for the community health in the country. To this end, it manages different medical and public health related research projects and effect the publication of highly valued research out puts by hosting a publication platform, Ethiopian Medical Journal (EMJ). EMJ is devoted to the advancement and dissemination of knowledge pertaining to the broad field of medicine in Ethiopia and other developing countries. EMJ is an open access, double blind peer-reviewed medical journal publishing scientifically valued and influential research outputs in the area of clinical medicine, conventional modern medicine, biomedical research, preventive medicine, traditional medicine, and other related researches in the broad area of Medicine. In order to facilitate this, EMA wants to hire a qualified personnel for the position of Journal Manager.

Under the supervision of the EMJ, Research and Publication Manager, the Journal manager is responsible for the facilitation and support of the overall activity of the journal, from submission to publication including distribution and formatting functions as needed, and he/she is the executive secretary of the Editorial Board. The job incumbent is also responsible for all facilitation and support services for EMJ, Research and Publication department of the association. .

Major Duties and Responsibilities

  • Responsible for all secretarial and other supportive services of the department including record keeping, filing, photocopying and documentation
  • Organizes regular editorial board meetings, prepares minutes and follows the meeting action points and timely communicates for all responsible parties.
  • Manages and facilitates the publication process of manuscripts from submission to publication and further possible dissemination according EMJ policy.
  • Notify publication of an issue (regular and special issues) to Media and communication department for promotion and dissemination of publications for members and other stakeholder
  • Provide effective and efficient communications with authors, the editorial board and reviewers using phone, email or any other communication platform as needed.
  • For any possible special issue request by other institutions, facilitates the signing of agreement according to the organizational financial policy for budget generation.
  • Facilitates and participate on fundraising and resource mobilization activities of the department including facilitation and follow up of the payment process for special issue publication and registered subscribers of EMJ;
  • Supports all other research and publication activities of the departments
  • Closely works with senior research officer and provides other the necessary support;
  • Provides liaising and follow up services with printing houses, and possible designers to facilitate the publication and printing process including sending of camera-ready manuscripts to printing house and following it;
  • Supports and facilitates any activities done to enhance the reputability of the journal in consultation with Editorial Board and Senior Research Officer
  • Perform other duties assigned to him /her by the immediate supervisor.

Job Requirements

Educational Qualifications

  • B.A/BSc in Secretarial Science, Journalism, Language (English), public health or other related fields with relevant experience.
  • 4 years and above years of related experience with strong experience in word processing and formatting services.

  • Having good communication skill( both orally and written)
  • Records maintenance skills.
  • Having good facilitation and coordination skills

Technical skills

  • Proficiency with MS offices (Word, Excel, Outlook, publisher) and the ability to use new technologies.
  • Efficient in Documents preparation such as PDF, PUB, HTML,XML
  • Efficient in computer database management
  • Consistency demonstrating accuracy and preciseness.

Languages                                   

  • Excellent written and verbal communication skills in English and Amharic
