Job Description


Job Summary

Develop and issue invitations to bid, request for quotation and proposlas. Evaluate suppliers inorder to find the best deals possible on goods and services. Ensure the company has the right raw materials and euipments necessary to function in a timely and cost-effective manner.

Duties and Responsibilities

  • Develop and issue invitations to bid, request for quotation and proposals
  • Compare prices amongst various suppliers in order to make sound purchasing decision
  • Seek approval from immediate supervisor whenever there is a price change in raw materials from the trending market price
  • Ensure suppliers are pooled from company’s approved list of suppliers.
  • Search for new suppliers and ensure the new supplier fulfills all the required documents and passes all steps of having quality approved & profile checked prior to proposing it to the approved supplier list.
  • Negotiate with contractors on price, mode of shipping and delivery time
  • Follow up on customs clearance
  • Liaison with banks to open Letter of Credits and/or other mode of payments in a timely manner
  • Properly file and record complete LC/ TT files
  • Share LC or TT files with the Finance department in a timely manner
  • Select the most convenient mode of shipment, book vessels and/or cargo lanes when needed and liaison with shipping companies
  • Prepare and review technical specifications/ terms of reference
  • Assist in ordering goods on a continuing basis in order to maintain minimum inventory levels
  • Analyze the quality of goods/services delivered in relation to the needs of operations
  • Check invoices for accuracy
  • Ensure all procurement actions are conducted as required following standard operating procedures and company code of conduct
  • Evaluate the performance of suppliers inorder to decide whether to continue buying from them or not
  • Manage relationships with suppliers
  • Identify risks associated with suppliers and their supplies
  • Establish long term agreements or service contracts as necessary in compliance with procurement policy
  • Confer with and assist departments to determine purchasing needs
  • Prepare periodic reports to department manager and finance department
  • Perform other duties as assigned

Job Requirements

Education: B.A degree in Procurement management, supply chain management or other related fields

Experience: Atleast 1 Year directly related work experience
