Job Description


ROLE PURPOSE:

As a member of the office’s Supply Chain team, the Fleet Officer should ensure the effective coordination of all travel movements, and develop weekly movement plans with assigned drivers. Additionally, s/he will bear responsibility for the maintenance and management of all generators on site, ensuring that they are in good condition, appropriately stored and fit for purpose. All drivers must be aware of safe driving standards.

SCOPE OF ROLE:

Staff directly reporting to this post: Drivers

Reporting to: Head of Fleet and Transport

Movement planning:

  • Receive weekly updates from teams on their movement plans for the week ahead and assign drivers accordingly.
  • Carefully all fleet related necessary records, vehicle log books and vehicle maintenance reports.
  • Maintain overall accountability for the condition of vehicles and cross-check of weekly movement plans with Safety and Security.
  • Carefully handling of vehicle service requests from staffs, and responding to requests on due time
  • Assigning of vehicles to users on the right time

Reporting

Prepare monthly fleet reports and work on improvements as
necessary

  • Ensure that drivers are well briefed on Save the Children’s ‘red lines’ with regards to transportation of items in insecure areas.
  • Abide by policies that prohibit fraud, nepotism, corruption and/or bribery.
  • Maintain a strong awareness of Child Safeguarding policies.
  • Operate with the highest standards of professionalism, and in a manner that is gender-sensitive and in compliance with Anti-Harassments and PSEA policies.
  • Contribute to a working environment which holds men and women in equal regard.
  • Be willing to support and/or participate in humanitarian responses where required.
  • Be willing to support and/or participate in trainings and other capacity strengthening initiatives for partners where required.

QUALIFICATIONS AND EXPERIENCE:

ESSENTIAL :

  • At least a Bachelor’s degree or equivalent in Supply Chain/Mechanical Engineering and/or Operations Management
  • At least 3 years of relevant work experience in the same level.

Knowledge:

  • Demonstrated supervisory experience with excellent leadership and interpersonal skills
  • The ability to establish and maintain effective relationships with key stakeholders
    Strong understanding of compliance and risk management
    Attention to details
  • Ability to make Decisions under pressure without guidance

  • Good communication skill in English
