Job Description


Position Overview/Scope of role:

A Fleet coordinator is a professional who is responsible for managing a team and all fleet vehicles of an organization. He/she must facilitate the productivity of their fleet operations by maintaining shop and fleet inventory as well as purchase field equipment to facilitate efficient operations.

Top Roles and Responsibilities will be but not limited to:

Fleet Coordinator performs many organizational and management tasks to monitor, maintain and improve a company’s transportation processes.

  •  Is responsible for leading a team of Drivers to transport company goods efficiently.
  • Creates work schedules and transportation routes for Drivers to pick up and deliver goods to the correct location/site.
  • Maintaining a fleet inventory of all vehicles owned by the company, including their make and model, purchase date, current mileage, and any outstanding repairs that need to be made
  • Ensuring that all company vehicles are insured and registered
  • Coordinating with third party vendors to arrange maintenance and repair services for vehicles
  • Maintaining records of fuel usage and mileage for each vehicle in order to prepare invoices for billing purposes
  • Communicating with vendors or customers regarding service appointments for each vehicle
  • Plan and manage budget for vehicle repairs and replacements
  • Ensures drivers receive proper training to uphold safe driving standards.
  • Procurement proposal in line with business need of vehicles to expand and/or enhance the fleet
  • Scheduling regular maintenance on all vehicles
  • Ordering urgent or emergency repairs as needed
  • Establishing efficient routes and transportation schedule
  • Managing vehicle license and registration and ensure all fleet members have proper license and up-to-date training
  • Monitor Drivers to ensure adherence to schedules and proper driving practices
  • Searching for, hiring and training new Drivers
  • Providing reports to management on budgeting, schedules, maintenance and fleet progress
  • Developing methods to decrease cost and improve efficiency
  • Coordinating with the finance department to arrange for payment for services rendered
  • Work closely with site project team and plant and equipment team

About You

Qualification and Requirements:

  • BA Degree in Logistics management, Management or other related fields
  • Minimum 4 years of relevant experience
  • Previous work experience in supply chain management, logistics and fleet management is an asset.

Skills:

  • Expert knowledge of best driving, delivery, vehicle maintenance and other industry practices
  • Sharp time management skills
  • Understanding of basic vehicle mechanics, including the ability to identify when major repairs are needed
  • Ability to set and monitor a budget
  • Good problem-solving, critical thinking and decision-making skills
  • Exceptional organization, time management and multitasking abilities
