Job Description


ROLE PURPOSE

In Ethiopia, Plan has more than 25 years of experience in implementing its programme. Currently PIE mainly operates in seven geographical areas; Amhara, Oromia, SNNPR, Gambella, Benishangul Gumuz, Afar, and Addis Ababa City Administration on different projects funded by different donors including sponsorship.

Plan International Ethiopia’s main purpose is to seek Gender Justice for Girls, Adolescent Girls, and Young Women. We aim to help create an enabling environment where girls, adolescent girls, and young women are safe, valued, equally cared for, and have equal opportunities. PIE will contribute to the global strategy by aiming to reach directly 2.1 million Girls, Adolescent Girls and Young Women over the period of the strategy 2020-2024 and to reach an additional 6.3 million beneficiaries through its interventions.

The position holder will be responsible to assist the finance unit by sharing the responsibilities related to ensure all cash transactions necessary for effective office running including petty cash management, support cash related project deliverables and maintaining documentation as per the organization regulation

MANAGEMENT SCOPE, REPORTING LINES, KEY RELATIONSHIPS

Reports to: Finance Coordinator

Direct reports: No direct supervision role

Key relationships 

Internal:

• All departments : Maintain financial documents files sequentially, Scanning financial documents for Intercompany recharges invoice & auditing purpose, Organize financial documents for audit process in order to allow easy access & traceability; responsible to effect withholding, income tax and pension to the revenue inland authority before the deadline; Responsible for transferring of cash to our different field offices, according to the approved TOR and request, ensure that all documents are stamped to avoid double payment; preparing withholding tax voucher for suppliers, purchase order, journal vouchers, and submit the hard copy to be reviewed & approved.

External:

• Bank: collect bank statements, checks and other related transactions

• Government Authority: to effect withholding, income tax and pension to the revenue inland authority before the deadline

Level of contact with children

Low contact: No contact or very low frequency of interaction

Physical Environment

The position is typical office environment with some involvement of effecting payments in fields

ACCOUNTABILITIES AND MAIN WORK ACTIVITIES

Maintain and keep PIE CO financial documents properly (65%)

• Maintain financial documents files sequentially in order to allow easy access and traceability

• Organize financial documents for audit process while ensuring their safe return during the audit and year-end works.

• Ensures that all financial documents are filed, signed and kept appropriately

• Ensure that all documents are stamped to avoid double payment

• Scanning financial document related to Intercompany recharge invoice & Auditing purpose

Liaise with banks, facilitate cash transfer & collect advice (20%)

• Follow up any cash transfer from IH, NO & Local sources

• Facilitate cash transfer letters related to the salary, provident fund & Staff   saving & Loan repayment for all program areas & collect bank advice timely

• Facilitate any cash transfer to Program Areas & cash deposit to bank

• Deposit all cash collection to the organization account at least twice a week

Facilitate payments to Other External organization /ERCA (15%)

• Prepare withholding tax voucher for suppliers & outgoing vendor payments & maintained with the documents

• Effect payment made to ERCA such as Income tax, Withholding tax, Stamp revenue, pension contribution & cost-sharing before the deadline.

• Any other duties as assigned by the Supervisor.

• Understand and put into practice the responsibilities under Safeguarding and GEI policies and Plan International’s Code of Conduct (CoC).

• Ensure that Plan International’s global policies for Safeguarding Children and Young People and Gender Equality and Inclusion are fully embedded in day to day work.

• Ensure that Plan Ethiopia contributes to Plan International’s global efforts to ensure safeguarding and GEI, including making sure that relevant reporting and data are submitted.

Job Requirements

Qualifications/ experience essential:

• B.A. degree in Accounting / Finance, Business management and related business field.

• Relevant experience on a finance area is preferable.

• Knowledge on computer applications; Excel, word

• Ethical, supportive and team player

• Good knowledge of accounting and Ethiopian taxes

Languages required

• Fluency in English language is essential

• Knowledge of Local Language is desirable
