Job Description


Young Men’s Christian Association of Ethiopia (YMCA Ethiopia) is a non-religious, non-political, and pioneering youth-serving organization that works for the well-being of youth, children, and the community as a whole. YMCA Ethiopia was established in 1951 with the vision of empowering young people for the renaissance of Africa. It is affiliated with the World Alliance of YMCAs and the African Alliance of YMCAs, and it shares the founding principle of “Body – Mind – Spirit,” which is symbolized by the time-honored triangle that denotes a holistic youth development approach. YMCA Ethiopia works in collaboration with governmental and non-governmental stakeholders in Addis Ababa and five (5) regions of the country (Amhara, Oromia, SNNPR, Tigray, and Sidama), and it has overall ten (10) branch offices across the country.

Key Responsibilities

Finance Management:

  • Develop and monitor the implementation of annual, semi-annual, and quarterly finance and administration plans for the department
  • Monitor project budgets in collaboration with program, finance team members, and track their progress
  • Prepare monthly Budget vs. Actual (BVA) reports and facilitate management review and decision-making
  • Oversee accounts payable and receivable processes to ensure timely and accurate processing
  • Conduct regular financial analysis and reporting for the Executive Director, donors, and stakeholders
  • Ensure compliance with all applicable financial regulations, procedures, and donor requirements
  • Ensure the accurate recording, management and reporting of branch office financial management
  • Manage the organization’s bank accounts, cash flow, and investments

Policies, Processes and Compliance:

  • Develop and revise operational policies and procedures.
  • Develop and implement financial policies and procedures to ensure proper controls and efficient use of resources
  • Support the implementation of new systems and technologies to enhance organizational efficiency
  • Prepare accurate and timely financial statements, budgets, and other reports for management and the board of directors
  • Coordinate the annual audit process and serve as the primary point of contact for external auditors
  • Ensure compliance with all relevant local laws and regulations related to finance and accounting
  • Supervise and provide guidance to the finance and administrative staff

Performance Management:

  • Support department staff performance goal setting, review and evaluation
  • Manage the organization’s human resources functions, including payroll, benefits administration, and personnel record keeping
  • Oversee the maintenance of the YMCA’s facilities and equipment, including procurement and inventory management
  • Assist the Executive Director with strategic planning and decision-making related to the organization’s financial health and operational efficiency

Communication and Coordination:

  • Liaise with donors, stakeholders, and branch offices on administrative and financial matters.
  • Serve as the primary point of contact for external auditors, government agencies, and other stakeholders.
  • Represent the organization in relevant meetings, workshops, and events.
  • Communicate financial and operational updates to staff in a clear and transparent manner.
  • Coordinate organizational events, weekly management, and monthly staff meetings.

Logistics and Asset Management:

  • Oversee the maintenance of the organization’s physical infrastructure and equipment
  • Overseeing the procurement process and managing organizational assets
  • Coordinating the organization’s logistics, events, and supplies
  • Ensure that procurement process has taken the principles of efficient cost and value for money and available policy and procedures.
  • Lead and monitor the organization’s annual procurement plan based on project lines and functional department’s operational priorities.
  • Manage the organization’s fixed assets, including maintenance, insurance, and disposal.
  • Coordinate the organization’s logistics, including event planning, travel arrangements, and supplies. Resource Management and Operational Support

Salary: 25,000.00 to 30,000.00 ETB (Based on your experience)

Duty Station: National Office

Reporting to: Executive Director

Requirements

Qualifications and Skills

  • Master’s or bachelor’s degree in finance, Accounting, Business Administration, or a related field
  • Minimum 4 years of experience with the same working position, preferably in a local/international NGO
  • Strong financial management and reporting skills, with proficiency in accounting software
  • Excellent communication and interpersonal skills, with the ability to work collaboratively
  • Demonstrated experience in managing teams and leading organizational change
  • Proactive problem-solving skills and a commitment to continuous improvement
  • Familiarity with donor compliance requirements and NGO best practices
  • Fluency in English and Amharic; additional language skills are an asset
  • Proficient in financial management software, spreadsheets, and other relevant technology
  • Demonstrated skills in managing teams and leading organizational change
  • Knowledge of Ethiopian financial regulations and reporting requirements
  • Commitment to the mission and values of the YMCA of Ethiopia
