Job Description


Professional Alliance for Development (PADet) is an Ethiopian civil society organization which runs various developmental programs at community level in Ethiopia focusing on Reproductive health, HIV/AIDS, Child development, Women development and Livelihood promotion programs empowering vulnerable women, children and youth in North Wollo Zone, South Wollo Zone, Awl Zone, South Gondar zone – Amhara Region, Afar Region, North Shoa Zone, Jima/Kersa – Oromia Region and Addis Ababa

PADet has been working since 1998 in partnership with various International Donors, Regional Governments, National CSOs and the communities.
Currently PADet would like to hire a competent potential staff at Head office level.

Job summary:

Under supervision of S. Admin & Proc.Officer, responsible for administrative & procurement assistance tasks, reports compilation and follow up for the Executive Director office, participates in public relation activities, schedules appointments for the Executive Director and other key staff members and compiles minutes and reports to be issued from the Executive Director office and update fixed asset register.

Accountabilities

  • Provide secretarial services for the office,
  • Maintain & Organize file system (hard and soft copy)
  • Maintain all the necessary records concerning property received at the store and issued to the respective projects
  • Support store keeper to provide monthly stock report (for both fixed and non-fixed items)
  • Facilitate different materials for the office purpose when deemed necessary
  • Handle incoming and outgoing correspondence,
  • Maintains and handle all staff personal files, grant files, and donor & government agreement and confidential records,
  • Ensures that correspondences are numbered and copies are filed according to filing procedures of the organization,
  • Ensure proper operation of utilities (telephone, internet, water) and other office facilities within the head office in consultation with the immediate supervisor,
  • Supervise and evaluate performance of store keeper, guards, messenger and peons assigned at the head office level,
  • Assist to ensure PADet- policies, procedures and guidelines relating to personnel matters are adhered by all staff,
  • Follow up office premises are kept clean and convenient to all staffs,
  • Liaises with local authorities as required by the organization.
  • Update fixed asset register of the organization timely
  • Discharge responsibilities based on monthly and quarterly action plans
  • Carry out other admin assignments when instructed by supervisors.

Job Requirements

Qualification and skills Requirement:

  • Diploma/ Degree in Secretarial Science & Office Management, Management and other related field of study.
  • Minimum 2 years and max.4 years in related positions, Preferable in NGO
  • Basic Computer proficiency (Microsoft word, excel, database management)
  • Good communications and interpersonal skills
