Job Description


The Deborah Foundation is a non-profit organization dedicated to improving the lives of Ethiopian youth with mental disabilities through support in the areas of education, health, and policy advocacy.

Summary:

The Executive Assistant provides high-level administrative and executive support to a senior-level leader. This role is responsible for managing the executive’s calendar, coordinating meetings and travel, handling sensitive information, and serving as a trusted partner and gatekeeper. The Executive Assistant must have exceptional organizational, communication, and problem-solving skills, as well as proficiency in Affan Oromo, Amharic, and English, to ensure the efficient and effective operation of the executive’s office.

Responsibilities:

  • Manage scheduling for company executives
  • Draft, review and send communications on behalf of company executives
  • Organize and prepare for meetings, including gathering documents and attending to logistics of meetings
  • Answer and respond to phone calls, communicate messages and information to the executive
  • Prioritize emails and respond when necessary
  • Coordinate travel arrangements
  • Maintain various records and documents for company executive
  • Perform other duties as assigned by the executives
  • Location: Deborah Foundation, Head Office, Bole behind Sur construction

Requirements

Qualifications:

  • Bachelor’s degree in related field
  • Minimum 1 year of experience as an executive assistant or in a similar high-level administrative role
  • Proven proficiency in speaking, reading, and writing Affan Oromo, Amharic, and English
  • Proven ability to handle highly sensitive and confidential information with the utmost discretion
  • Exceptional verbal and written communication skills in all three languages
  • Strong organizational and project management skills, with the ability to multi-task and meet deadlines
  • Proficient in using office productivity software, calendar management tools, and other administrative technologies
  • Adaptable, proactive, and able to work autonomously in a fast-paced, dynamic environment
  • Excellent problem-solving and decision-making skills, with a solutions-oriented mindset
  • Commitment to providing exceptional customer service and a positive, professional demeanor
