Job Description


Job summary

  • The Assistant Finance and Administration Director (AFAD) will be responsible for ensuring high quality & accurate financial reporting and sound financial management of the FIDO-managed activities, as well as for providing oversight to the finance teams in the regions where FIDO operates.
  • The AFAD supports all the Development and Emergency and Relief teams of FIDO in ensuring effective and timely financial management of the projects-managed programme and assists the project Managers and Coordinators in ensuring effective and timely financial management according to the financial manual of the organization.
  • The AFAD reports directly (hierarchical line) to the Finance and Admin Director of FIDO at the Head of office, who (in consultation with Executive Director) will task him/her and monitor his/her performance.
  • The work of AFAD is also overseen by the Executive Director for all delivery (output) matters (i.e., financial reports, budgets, advice to branch and site level management, priority of tasks, training to beneficiaries and staff etc.)

ROLES AND RESPONSIBILITIES:

Financial Management and Reporting

  • Proactively support the assigned Finance managers, Senior Accountants and all the FIDO dedicated Finance Officers in preparing quality program budgets and timely submit financial reports to the FIDO HQ in accordance with donor Specific guidelines.
  • Prepare and maintain head office annual accounts in accordance with FIDO’s Financial Policies and procedures.
  • Accountancy systems and ensure submissions to donors are completed on a timely and accurately basis.

Financial Monitoring

  • Review the monthly reporting tools prepared by each project accountants.
  • Coordinate and facilitate internal and external audits for the head office.
  • Provide a gap fill service for the financial management system in the organization as required due to staff absence from leave or resignation.
  • Serve as surge capacity resource in finance upon request.
  • Provide timely and accurate financial monitoring reports to the respective donors, Admin and Finance Director and to the Executive Director
  • Request and assist the Project budget holders with variance and burn rate analysis on a monthly basis

Financial Systems Development and Capacity Budding

  • Assess the capacity of current FIDO finance teams and make recommendations about  training needs, organizational structure, and staffing changes;
  • Develop training for finance staff, as well as program and other staff, on financial processes and  The importance of financial compliance.
  • Work with the FIDO management team to improve financial systems in the branch and project sitesand assist in introducing change where requested as part of the organizational improvement toprovide timely and appropriate financial information to senior management team, project managers and budget holders;
  • Provide suggestions and inputs to the continuous development of the financial administration  Procedures and routines.

Job Requirement

  • Professional/academic qualification in finance or accounting (Master degree, audit or relevant field)
  • Relevant experience of minimum 10 years in finance management and programming in local NGOs or International organizations.
  • Experience In Preparing Budgets, Cash Flow Statements And Annual Financial Plans.
  • Experience In Preparing Narrative And Financial Reports.
  • Demonstrated Excellent Knowledge Of Accounting Software – Peachtree.
  • Strong Competency In Microsoft Office Package.
  • Good Supervisory Skills And Communication Skills.
  • Good Interpersonal Communication And Relationship Building Skills.
  • Ability To Work Independently In A Fast-Paced And Dynamic Environment.
  • Attention To Detail And A Proactive, Problem-Solving Approach Are Required.
  • Prior Team Management Experience Is Required.
  • Fluency In English And Effective Communication Skills Are Required.
  • Ability To Travel To The Project Sites /Or The Ability To Undertake Temporary Duty
  • Assignments To Support FIDO Branch Offices.
