Job Description


Requirement

  1. PhD/ MBA and /or BA in Human Resource and Management, Administration, and related social fields. 5+ years for MBA, and above 8 years for BA with direct and proven experience in Strategic Human Resource Management.
  2. Proven experience in human resource management in the International and NGO sector;
  3. Senior professional in human resources (SPHR) certificate, human resource information professional (HRIP) certificate, or similar may be advantageous.
  4. Experience in full-cycle retention, training and development, and capacity building;
  5. Vast knowledge of labor laws and HR functions.
  6. Working knowledge of HR software
  7. Proficient in the use of social media and job boards;
  8. Willingness to understand the duties and competencies of different roles;
  9. Working knowledge of Applicant Tracking Systems (ATS) and databases;
  10. Excellent communicator;
  11. Well-organized;
  12. A leader and strategic thinker;

MAJOR RESPONSIBILITIES

  1. Read and analyze incoming memos, letters and reports in order to determine their plan for distribution
  2. Open, sort and distribute incoming correspondences including faxes and emails
  3. File and retrieve organizational documents, records and reports
  4. Assist in the collection of members’ annual fees
  5. Welcome visitors and direct them to access specific individuals in the office
  6. Perform general office duties such as ordering supplies, maintaining records management system and performing basic bookkeeping work
  7. Prepare meetings and make arrangements for committees and others
  8. Compile, transcribe and distribute minutes
  9. Coordinate and direct office services such as records preparation, personnel management and house keeping
  10. Prepare invoices, reports, memos, letters, financial statements and other documents using word processing and other presentation modalities
  11. Assist implementation of administrative policies and procedures for the office

12. Assist the supervision and training of other clerical staffs

13. Perform other duties as assigned by the Executive Director

  1. At least diploma in secretarial science or other related fields

DAY TO DAY

  1. Communicates instructions or information to various individuals and/or departments and furnishes and obtains information from other stakeholders.
  2. Receives and screens telephone calls, letters, and/or visitors, answering routine questions and furnishing information to save supervisor’s time.
  3. Schedules appointments and makes arrangements for meetings, conferences, and travel.
  4. Organises and maintains files of assigned correspondence and records, following up on pending matters.
  5. Prepares routine letters and memoranda for signature.
  6. Prepares special reports, gathering, and summarising data.
  7. Organises and prepares complex documents requiring the integration of multiple office technology and software applications. May act as an office resource for word processing and spreadsheet application.
  8. Prepares complex correspondence, reports, and presentations.
  9. Organises and expedites flow of work through supervisor’s office and initiates any follow-up action.
  10. May assign work to others.
