EXTERNAL VACANCY ANNOUNCEMENT

The International Committee of the Red Cross (ICRC) is an impartial, neutral and independent organization whose exclusively humanitarian mission is to protect the lives and dignity of victims of armed conflict and other situations of violence and to provide them with assistance.

The International Committee of the Red Cross (ICRC) Delegation in Ethiopia is looking to hire an experienced, highly motivated and qualified person to fill the position of Administrative assistant 1  (1 year fixed term contract), based in Nekempt.

GENERAL DUTIES

  • Understands and adheres to the seven Fundamental Principles of the International Red Cross and Red Crescent Movement
  • Understands and adheres to the ICRC Code of Conduct
  • Understands the roles of the components of the International Red Cross and Red Crescent Movement
  • Respects and observes staff regulations and security rules at all times
  • Represents the ICRC in a professional manner at all times
  • Develops and maintains a pleasant and conducive working environment with colleagues and line managers
  • Performs all duties with the highest level of confidentiality in the interest of the employees and the ICRC
  • May be asked to perform tasks not covered in this job description and to provide support to other departments when necessary

ACCOUNTABILITIES AND RESPONSIBILITIES

  • Handles the sub-delegation’s cash disbursements and payments, including working advances
  • Prepares invoices for payment (by cash, check or bank transfer)
  • Carries out daily cash count and reconciliation
  • Participates in cash-flow management, ensuring sufficient liquidity. Handles cash replenishment from the bank
  • Files and reports on relevant documents
  • Ensures respect for financial procedures and guidelines and explains to “client”
  • Prepares and follows-up bank payments, cash collection, performs payments in cash against validated invoices and signed vouchers, reconciles balances, carries out daily cash count and reconciliation
  • Assists the welcome department at delegation and be the focal point for all administrative activities
  • Organizes communication flow between ICRC offices sub delegation and delegation regarding staff travel and accommodation (ICRC staff and guests)
  • Organizes welcome files, business cards, briefing programmes and tours of the sub delegation for new arrivals
  • Organizes the Welcome side of events/meetings/seminars, coordinating with parties concerned.
  • Prepares for meetings by setting up rooms and materials, including technical set up for conference calls, presentations and video conferences
  • Carries out secretarial tasks such as making photocopies, destroying documents and managing stationary stocks
  • Applies information-management instructions and ensures compliance with procedures
  • Drafts and finalizes correspondence, bordereaux, internal presentations and other documents; shares information among users
  • Collects/distribute from/to department and send/receive to/from delegation documents and correspondence by organizing POUCH bags/envelop.

ADDITIONAL DUTIES

  • Follows up on all work-related messages and correspondence with the relevant contacts and departments.
  • Is aware of the delegation’s objectives and has a good knowledge of the Movement and other contacts relevant to the position.
  • Represents the ICRC in an appropriate way during activities, in meetings and in the field, and avoids any activity that may reflect negatively on the ICRC’s image.
  • Takes responsibility for the own professional learning and development.
  • Upon request, participates in other programs based on operational priorities.

Job Requirements

  • High school graduate of above
  • Certificate in finance/accounting or similar field.
  • 2 years confirmed practical experience in similar field
  • Good command of English language, Amharic and Oromiffa.
  • Good computer proficiency
