Job Description


The Save the Children Fund, commonly known as Save the Children, is an international non-governmental organisation that promotes children’s rights, provides relief and helps support children in developing countries.

GRADE: 3A

CONTRACT LENGTH: 1 Year

CHILD SAFEGUARDING:

Level 3: the role holder will have contact with children and/or young people either frequently (e.g. once a week or more) or intensively (e.g. four days in one month or more or overnight) because they work in country programs; or are visiting country programs; ore because they are responsible for implementing the police checking/vetting process staff.

ROLE PURPOSE:

Manage ongoing and routine support activities by motivates staff under the role supervision by ensuring clear work plans and objectives. Receive regular supervision and reviews in order to deliver and create a good working environment as per SCI minimum standard.

Reports to: Administration Manager

Number of direct reports: 4

KEY AREAS OF ACCOUNTABILITY:

Staff Management and supervision

  • Manage and motivate country office attendants, officers ensuring that they have a clear work plan and objectives and receive regular supervision and performance review.
  • Supervise and evaluates the performance of staff member under the role supervision
  • Prepare periodic report and submit for his/her line manager

Resource Management

  • Manage the ergonomics function of the office the use of spaces, furniture’s, equipment’s and psychological factors such as light, colours, sound, temperature and the psychological need of the employees on the job.
  • Efficiently manage utilities and cleaning services and purchase as per SOD
  • Maintain the efficient provision of administrative service generator, elevator etc and monitor the cost efficient utilization.
  • Proactively administer the office operational service utilities- water electricity, telephone, sanitation office equipment stationery replenishment
  • Ensure the appropriate functions of the office elevators, stairs, renovation-painting maintenance; Logo stands.
  • Manage canteen, SC office compounds.
  • Efficiently Manage office refreshment provisions, utilities and cleaning services, put a quarterly purchase request to logistics using replenishment level monitoring mechanisms and manage it in a cost effective manner.
  • Maintain control of all relevant records and ensures it is secured and accurate.
  • Standardize filling, protecting and retrieving records in a form of paper and digital copy.
  • Receive all incoming documents, register them and forward or record records, documents and other record materials according to the established filing system

Maintenance service Management

  • Provide scheduled maintenance service for office facility, office equipment and GH
  • Ensure operational status and preventive maintenance of the elevator, generator, telephone line installation,
  • Work to have attractive office area and premises
  • Encourage the staff to create new things and introduce new way of doing.

Canteen Service

  • Ensure that stock is kept at appropriate levels and a stock take is undertaken at the end of each month
  • Implement procedures and processes regarding food safety to ensure that correct food handling and hygiene practices are performed to prevent food spoilage, contamination and subsequent food poisoning;
  • Ensure that the operation of the canteen is in line with the values of the Save the Children family;
  • Support canteen team to introduce new way of doing things.

QUALIFICATIONS AND EXPERIENCE

Essential

  • B.A. Degree in Management and other related field.
  • Degree in management, with 5 years’ experience in the field
  • Good communication skills, both oral and written, to provide reports, assimilate large amounts of information and present in an accessible manner
  • Good interpersonal skills to negotiate and provide effective support to staff
  • Excellent spoken and written English
  • Good organisational skills
  • Ability to work both on own initiative and also within a team
