Job Description


BGI is a large-scale brewery and beverage production wing of Group Castel, operating in over 53 countries. Since 1998, BGI Ethiopia PLC has been operating in the production and distribution of beer, wine and other beverages. BGI owns five breweries including the iconic St. George Brewery in Addis Ababa, the Kombolcha Brewery, the Hawassa Brewery, Zebidar Brewery and Maychew Northern Brewery, producing 3.6 million Hectoliters of beer (bottles and draft) annually.

Responsibilities

  • Provide executive support in a one-on-one working relationship by serving as the primary point of contact for internal and external stakeholders on all matters pertaining to the Office of the head of department providing executive level administrative support by providing clerical support, receiving department managers, executives, clients and visitors’ messages, and scheduling meetings.
  • Serve as the head of department’s first point of contact with people from both inside and outside the company
  • Completes a broad variety of administrative tasks for the head of department including managing a calendar of appointments; completing reports; composing and preparing correspondence that is sometimes confidential; arranging travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
  • Completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the CEO’s ability to effectively lead the company.
  • Receives and deals with telephone calls professionally, re-direct or take messages and take initiative to deal with queries.
  • Sorts, distributes and responds or draft responses to incoming mail in a timely and efficient manner.
  • Organizes and attends meetings and ensure the head of department is well prepared for meetings.
  • Arranges travel, visas and accommodation and, occasionally, travelling with the senior manager to take notes or dictation at meetings or to provide general assistance during presentations.
  • Plans, coordinates, and ensures the head of department’s schedule is followed and respected.
  • Perform other duties and responsibilities as assigned by the line manager.

Requirements

  • TVET-Level 3/ Diploma or BA in Administrative Services or Secretarial Science & Office Management or Management or Office Administration and Technology or related field of studies.
  • 4 years’ experience for TVET-Level 3/ Diploma & 2 years’ experience for BA
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms.
  • Strong communication skills (via phone, email, and in-person)
  • Experience exercising confidentiality with sensitive company information.
  • Excellent organizational skills with an ability to think proactively and prioritize work
