Job Summary

The Material Planning & Purchasing Officer is responsible for managing the procurement processes, controlling inventory levels, and collaborating with suppliers to ensure cost-effective sourcing of materials. This role plays a critical part in ensuring that production runs smoothly and efficiently by maintaining the necessary inventory levels and optimizing material usage across the organization.

Key Responsibilities:

1. Supplier Sourcing and Negotiation:

  • Identify and evaluate potential suppliers based on quality, price, and reliability to meet material requirements.
  • Negotiate contracts and pricing agreements with suppliers to secure favorable terms and conditions.
  • Conduct regular supplier assessments and audits to ensure compliance with company standards and industry regulations.
  • Develop and maintain a comprehensive supplier database, including performance metrics and historical data.

2. Procurement Management:

  • Oversee the procurement process from requisition to delivery, ensuring timely and cost-effective sourcing of materials.
  • Place purchase orders based on material requirements from the production schedule, ensuring alignment with production timelines.
  • Monitor supplier performance and resolve any issues related to material quality, delivery schedules, and payment terms.
  • Ensure that procurement activities comply with internal policies and regulatory requirements.

3. Inventory Control and Optimization:

  • Control and optimize inventory levels by implementing effective inventory management practices to prevent stock outs and overstock situations.
  • Collaborate with the production team to determine material requirements based on production forecasts and schedules.
  • Analyze inventory turnover rates and implement strategies to reduce excess inventory and minimize holding costs

4. Relationship Management:

  • Build and maintain strong relationships with key suppliers to facilitate effective communication and collaboration.
  • Act as the primary point of contact for suppliers, addressing any inquiries or concerns promptly and professionally.
  • Foster long-term partnerships with suppliers to enhance service levels and support cost-saving initiatives.

6. Reporting and Analysis:

  • Prepare and present regular reports on procurement activities, inventory levels, and supplier performance to the Production Manager.
  • Analyze purchasing trends and material costs to identify opportunities for savings and process improvements.
  • Maintain accurate records of procurement transactions, inventory levels, and supplier communications for auditing and compliance purposes.

7. Continuous Improvement:

  • Participate in continuous improvement initiatives to enhance procurement processes and inventory management practices.
  • Stay updated on industry trends, market conditions, and best practices in supply chain management to implement innovative solutions.
  • Conduct root cause analysis on procurement or inventory issues and implement corrective actions as necessary.

About You

Qualification

Experience Required

  • Minimum of 1 years of experience in material control, procurement, or supply chain management
  • Proven track record of successfully managing supplier relationships and optimizing inventory levels.

Education Required

  • Bachelor’s degree in Supply Chain Management, Business Administration, or a related field.

Skills Required

  • Strong negotiation and communication skills, with the ability to build rapport with suppliers and internal teams.
  • Excellent organizational and time management abilities to handle multiple tasks and meet deadlines effectively.
  • Proficient in using inventory management and procurement software, as well as MS Office applications.
  • Strong analytical skills to assess data and make informed decisions related to material sourcing and inventory control.
