Job Summary:
The Project Management Officer (PMO) will play a pivotal role in ensuring the successful implementation and transition to an upcoming ERP system at Bethzatha Health Services PLC. Reporting directly to the CEO, the PMO will oversee the ERP project to ensure alignment with organizational goals, manage resources, mitigate risks, and monitor progress. After the ERP project’s completion, the PMO will transition focus to managing a variety of non-IT corporate projects across the organization, ensuring they are executed effectively, on time, and in alignment with strategic objectives.
Key Responsibilities:
1. ERP System Implementation and Transition (IT Focus):
• Project Planning & Coordination:
o Lead the creation and implementation of detailed project plans for the ERP system, ensuring that timelines, resources, and objectives are clearly defined.
o Work closely with the IT team, ERP vendors, and business stakeholders to ensure that project scope and goals align with the company’s long-term objectives.
• Stakeholder Management & Reporting:
o Serve as the primary communication link between the CEO, IT department, external vendors, and other key stakeholders.
o Provide regular, detailed progress reports to the CEO and senior leadership on project milestones, resource allocation, risks, and budget status.
o Facilitate executive-level meetings and ensure all stakeholders are aligned on project goals and updates.
• Resource Allocation & Risk Management:
o Ensure efficient allocation of resources (people, finances, technology) throughout the ERP implementation.
o Proactively manage project risks and identify solutions to minimize disruptions, including mitigating external and internal risks.
• Quality Assurance & Change Management:
o Ensure the ERP system is thoroughly tested and meets operational requirements before launch.
o Oversee the training of end-users and facilitate smooth change management processes, ensuring high adoption rates and minimal operational downtime.

• Post-Implementation Support:
o Manage the post-implementation phase, ensuring that the ERP system is stable, operational, and fully integrated into business processes.
o Coordinate any necessary troubleshooting, system upgrades, or adjustments based on feedback.
2. Transition to Non-IT Projects (Post-ERP Implementation):
After the successful launch of the ERP system, the PMO will shift focus from IT-centric initiatives to managing various non-IT projects across the organization. These projects will range from strategic business development initiatives to process improvements and corporate growth initiatives.
• Project Portfolio Management:
o Collaborate with the CEO and senior leadership team to identify and prioritize key non-IT projects aligned with corporate goals.
o Manage the full project lifecycle for multiple non-IT projects, from initiation and planning through execution and closure.
o Regularly track and report on progress, ensuring that each project is delivered on time, within budget, and meets the desired outcomes.
• Cross-Departmental Collaboration:
o Coordinate with various departments (e.g., HR, Finance, Marketing, Operations) to ensure that non-IT projects are aligned with broader organizational objectives.
o Support department heads in defining project scope, goals, and resource requirements for non-IT projects.
• Resource Management & Optimization:
o Oversee the allocation of resources across various non-IT projects, ensuring projects have the necessary personnel and budget for success.
o Evaluate resource capacity, and adjust timelines or resources as necessary to keep projects on track.
• Risk and Issue Management:
o Identify risks and obstacles for non-IT projects, developing mitigation strategies and ensuring minimal disruptions to project timelines.
o Provide support and guidance to project managers in resolving challenges across various initiatives.
• Process Improvement and Reporting:
o Establish and maintain standardized project management practices for non-IT projects, ensuring alignment with the organization’s best practices.
o Develop comprehensive reporting systems to ensure transparent and clear communication on project performance, risks, and deliverables.
• Post-Project Evaluation & Continuous Improvement:
o After project completion, conduct post-mortem evaluations to gather insights, analyze project performance, and identify areas for improvement.
o Use feedback to continuously refine and improve project management processes, ensuring better outcomes for future initiatives.
3. CEO and Senior Leadership Support:
• Strategic Advice:
o Provide the CEO with expert advice on project management best practices, resource optimization, and organizational strategy.
o Support the CEO in the decision-making process related to the prioritization of projects, ensuring they align with the company’s strategic vision.
• Executive Communication:
o Ensure the CEO is well-informed about the status, risks, and outcomes of critical projects.
o Prepare presentations, reports, and executive summaries for senior leadership and stakeholders, highlighting key developments and strategic recommendations.
• Organizational Alignment:
o Ensure that all projects, both IT and non-IT, align with the broader organizational objectives and contribute to the company’s long-term success.

About You

Qualifications:
Education:
o Bachelor’s Degree/ Mater of Arts Degree in Business Administration, Project Management, Management, Information Technology, or a related field.
o Professional project management certifications are highly preferred.
• Experience:
o A minimum of 5 years in project management roles, with at least 3 years leading complex ERP system implementations.
o Proven track record of managing a diverse portfolio of non-IT projects, including cross-functional business initiatives.
o Experience reporting directly to C-suite executives, particularly in the healthcare or corporate services sectors.

Skills:
o Strong leadership, communication, and organizational skills.
o Proficient in project management software tools
o Deep understanding of change management processes, resource management, and risk mitigation.
o Strong strategic thinking and the ability to manage both IT and non-IT projects in a fast-paced environment.
