Job Description


The Center for Accelerated Women’s Economic Empowerment (CAWEE), established in 2004 in Addis Ababa, Ethiopia, is a non-profit, trade promotion, membership organization supporting women in Small and Medium Enterprises (SMEs), particularly those involved in export. CAWEE collaborates with various concerned development partners, including governments, UN agencies and international organizations, to empower women economically through capacity building, skills training, export markets facilitation, facilitating the creation of decent & fulfilling jobs, etc.

Currently, CAWEE is actively engaged in implementing the African Continental Free Trade Area (AfCFTA) agreement to expand export opportunities across Africa and beyond, with a focus to boosting intra-African trade, women taking the lead.

CAWEE is also involved in a project in partnership with PETCO Ethiopia and Ethiopian Enterprise Development, and has launched a transformative five-year program, “Enabling Young Women and Men to Find Dignified and Fulfilling Work in Manufacturing”, in collaboration with the Mastercard Foundation. This program aims at equipping women and youth with technical skills and facilitating the creation of dignified and fulfilling employment opportunities.

 

Position Summary:

The Office Attendant/Front Office, will play a critical role in ensuring the smooth operation of the Addis Ababa office. This role involves managing front desk operations, providing administrative support, overseeing office cleanliness & organization and assisting with logistical and clerical tasks.

Additionally, the Office Attendant will serve as a focal person for CAWEE, ensuring effective communication and representing the organization professionally while welcoming and assisting guests in a professional, courteous and friendly manner.

 

Key Responsibilities:

 

Administrative Support 

  1. Oversee the cleanliness and organization of the office, including workstations and meeting rooms;
  2. Monitor and guide the concerned ones to replenish office supplies, including stationery, cleaning materials and kitchen essentials;
  3. Handle incoming and outgoing mail and deliveries, ensuring proper distribution and record-keeping;
  4. Assist in setting up office spaces for meetings, workshops, refreshment and events and
  5. Perform additional clerical tasks such as photocopying, filing and document management.

 

Front Desk Operations (Guest Reception and Representation)

  1. Serve as the focal person for CAWEE, ensuring effective communication with staff, visitors, and external partners;
  2. Answer phone calls and respond to general inquiries in a professional and timely manner;
  3. Welcome guests and visitors with courtesy and professionalism, ensuring a positive first impression;
  4. Assist visitors/guests with inquiries, appointments and directions to appropriate staff members;
  5. Maintain a tidy and organized reception area;
  6. Receive and assist guests in a friendly and professional manner, reflecting CAWEE’s values and mission;
  7. Provide information about CAWEE’s programs and services to visitors whenever needed
  8. Represent CAWEE as the primary point of contact for front office communications and
  9. Perform other duties assigned by the Program Director to support the overall success and impact of the project.

 

Additional Responsibilities:

  • Assist in preparing meeting agendas, taking minutes and issuing notices;
  • Provide secretarial support, including drafting communications and reports;
  • Perform other administrative duties as assigned by the concerned management team.

About You

Qualifications and Skills:

  • Minimum BA Degree in Administrative Management, IT, Secretarial Science, Office Management or any other related field of study.
  • Additional training or certification in office administration or related fields will be considered relevant.

 

Experience:

  • Experience in a similar role is preferred.
  • Prior experience in guest reception, office administration or event coordination is an advantage;
  • Fluency in English (spoken and written) is mandatory.

 

Technical Skills:

  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint) and e-mail communication;
  • Familiarity with office equipment, including printers, copiers and scanners.

  • Excellent communication and interpersonal skills;
  • Punctuality and reliability.

 

Work Environment:

  • Primarily office-based with occasional local errands.
  • Regular interaction with staff, visitors and external partners.
