Job Description


About the Job

           Purpose of the Job: support smooth operation of the hospital by effectively procuring

inputs, supplies and other items in the right quantities and qualities and ensuring timely

deliveries

Roles and Responsibilities:

–          Receives purchase requests and orders from user departments and process for timely acquisition and availability of required items or services.

–           Verifies purchase requisitions, clarifies unclear items description, and recommends alternative items having similar use.

–           Assists in the preparation of bid documents and supplier bid lists to obtain competitive quotations on goods and services.

–           Participates in technical evaluation committees when appointed and do the analysis report as required.

–           Prepares purchase orders, in consultation with Procurement head, by verifying specifications and price.

–           Forwards purchase orders to suppliers and expedite orders.

–           Collects purchased items from suppliers.

–           Verifies the product specifications and quantity as per the purchase order.

–            Verifies receipt of items by comparing items received to items ordered; resolves delivery error with suppliers.

–           Initiates payment requisition for purchases by compiling receiving and other supporting documents which evidence purchases of goods.

–           Evaluates and monitors contract performance to ensure compliance with contractual obligations and to determine need for changes.

–           Prepares and maintains accurate records and documentation on all purchases, contracts, correspondence and related follow up.

–           Monitor inventory levels and reorder stock as needed to maintain optimal inventory levels.

–           Resolve any issues or discrepancies with suppliers regarding orders, deliveries, or invoicing.

–           Participate in vendor evaluations and supplier performance reviews to assess supplier performance and identify opportunities for improvement.

–           Performs other duties when he assigned.

About You

Qualification:

– BA Degree Purchasing, Purchasing and Supply Chain Management, Business Management, Management, or related fields.

– Experience: Minimum of 4 years of experience in purchasing or procurement roles

Competencies:

– Understanding of e-business / e-procurement systems

– Computer literacy, proficient in Microsoft Word, Excel, and Publisher amongst others.

– Knowledge of Ethiopian procurement statutes

–  Ability to compile, review, categorize, prioritize, analyze and interpret data and/or information

– Verbal and written communication skills.

–  Time management skills.

– Strong negotiation skills and the ability to build and maintain effective relationships with suppliers.

–  Excellent communication and interpersonal skills, with the ability to interact with stakeholders at all levels.

– Attention to detail and the ability to manage multiple tasks simultaneously.
