Family Food Courts PLC, FFC is a company that works in the Food, beverage and entertainment industry with two brand names The District Food-Court and The Diplomat Lounge that was established in 2008 and rapidly growing.

Following our newly established management system and as one of our company’s organizational development strategies we are hiring to build a vibrant team.

Immediate Supervisor: General Manager

Role Summary

The system representative is responsible for overall establishment, implementation and maintenance of the management and automation system with in FFC.

The system representative is also responsible to plan, direct, organize, coordinate and control human resource activities of the organization. Plan and fulfill necessary resources for the execution of HR activities, set goals for the administration & human resource management of FFC and evaluate the work unit’s achievement and performances.

Key Areas of Responsibilities & Authorities

The employee will perform the following tasks as FFC’s Management System Representative and Human Resource Officer

  1. A focal Person for the organization`s management and automation systems.
  2. Assist the general manager in maintaining the organization’s management and automation systems.
  3. Assist the organization in ensuring the management and automation systems are aligned with its strategic direction and context.
  4. Ensure the management and automation systems are controlled if it is affected by any change in the organizational context.
  5. Ensure all employees are aware of the management and automation systems.
  6. Ensure performance reports from departments & functions are collected, analyzed and submitted for the management review input.
  7. Ensure management reviews are conducted as planned by the top management and actions are taken accordingly.
  8. Ensure organizational documents and records are controlled as per the requirement.
  9. Work closely with the system consultants and facilitate the organizational development project.
  10. Facilitate and ensure trainings and awareness sessions on management and automated systems are delivered for employees.
  11. Develop regular reports on the management and automated systems for the top management.
  12. Plan, organize, direct, coordinate, lead and control human resource activities of the company for their achievements and high performances.
  13. Participate in preparation of strategic directions, policies and procedures.
  14. Ensure work is consistently done to improve quality of work and documents in the human resource department.
  15. Provides advice and support to the top management and staff members on all administration and human resources management issues such as recruitment, compensation, benefits, training, and development.
  16. Interprets the application of the staff rules, regulations and procedures ensuring uniform application of laws & rules in accordance with all applicable labor laws & guidelines.
  17. Prepare and submit annual budget on time, monitor and supervise that the approved budget is properly implemented.
  18. Ensure recruitment is performed effectively as per the developed standard procedure.
  19. Ensure all the necessary human resources administration internal controls are available and maintained as per the standard procedure.
  20. Analyze human resources information to recommend or develop efficient use of talent and provides strategic recommendations and maintains solutions to problems.
  21. Identify & ensure delivery of training needs throughout the organization to meet planned performances and strategic achievements according to its standard operation.
  22. Manage promotion; termination and transfer works within the organization according to the standard procedures.
  23. Ensure performance management and evaluations are conducted according to the plan and standard procedure.
  24. Ensure compensation and benefits are maintained in accordance with the standard procedure.
  25. Represent the organization with regard to human resources and administration issues with interested parties.
  26. Manage general services, like, office management, transport, utilities, and other functions within the organization according to the top management’s instruction.
  27. Handles employee grievances, disciplinary issues according to rules and regulations.
  28. Assist and advise the staff in the areas of human resources and administration of day-to-day matters.
  29. Prepare performance reports of human resources and submit to the general manager as per the defined plan.
  30. Perform other related activities as required by the company and given by immediate supervisor.

Core competencies

Education: MBA/BA degree in any field preferably in business administration, management or related

Experience: 3-5 years of relevant work experience in corporate environment and preferably as an executive assistance officer

Trainings: Advanced Computer & Microsoft training, Planning & Leadership, Quality management system trainings

Additional skills: Good interpersonal and communication skills/ability to communicate information accurately, analytical skill, strong decision-making abilities, project leadership, time management, detail oriented, team management, sufficient knowledge on human resource management approaches and Ethiopian labor law.

Language: Fluency in English, high level in all four skills
