Job Description


MAIN OBJECTIVE OF THE POSITION

Give support to external administrative work and to the coordination team in obtaining working/travel permits, as well as all official contacts, procedures and importation of goods, according to local and international laws and MSF procedures, in order to ensure the smooth running of MSF activities.

RESPONSIBILITIES AND TASKS

• Support the HR Assistant and HRCO to ensure that all travels to/ from/ in the mission country for professional reasons are organised for all MSF staff as well as all travel-related formalities

• Together with the HR Co, ensure that all MSF staff has applied and obtained on time any visa, stay, travel or working permits in the mission country according to needs, and keep information on legal, administrative procedures

• Maintain the support travel service in HQ informed about ongoing processes, specific situations or changes in the procedures related to visas, working permits, etc..

• Establish and maintain professional contacts with relevant authorities, depending on the context and the needs of the mission.

• Arrange meetings related to administrative issues for the mission as requested.

• Ensure that no illegal money is paid to any authorities or any individual, promoting and sharing MSF principles and values at all levels.

• Keep all documentation and files updated, properly filed and easily accessible for the internal users.

• Ensure good internal communication on responsible tasks to all relevant people.

• Support the HR department in administrative tasks

• Perform any other tasks assigned by supervisor.

MSF Section/Context Specific Accountabilities

MSF is an independent, neutral and impartial organisation that is providing quality medical care free of charge regardeless the ethnic origin of our patients, so to both local and refugee population. If MSF Belgium has a long history in Ethiopia (from 1984 to 2013) the re-establishment of the organization in the country (since March 2021) require to re-build our presence as a new INGO operating in Ethiopia.

Today, MSF Belgium is running 2 projects (SNNP and Tigray regions) and has conducted several assessments with some short-term responses (SNNP, Amhara, Afar). Our intention is to develop a rapid response capacity, allowing a fast-track assessment and humanitarian response in all the regions of Ethiopia.

The MSF Belgium strategy in Ethiopia is to respond to medical needs, as per our mandate, while having a strong focus on the Environmental Health as a preventive approach.

Job Requirements

Education

  • Secondary education essential. Administration or communication related studies desirable

Experience

  • Essential previous experience of at least one year in related relevant positions, in MSF or other NGO
  • Demonstrated experience in meticulous and organized management of working tasks and proactive planning

Languages

  • English and Amharic, spoken and written
