About the Organization:

VisionFund Micro Finance Institution (S.C) is an Institution established according to proclamation No. 40/96 to provide financial services to the productive poor in the rural and urban areas of Ethiopia. VisionFund MFI is currently operating in four of the Regional States of the country. VisionFund MFI is looking for competent candidates for the position of General Services Division Manager. The successful candidates will have skills and experience that meet the following requirements:

1.   SPECIFIC DUTIES AND RESPONSIBILITIES

• Plan, organize, direct, lead and control the general service support operations of the Institution;
• Lead the development/adaptation of general services guidelines and procedures such as fuel management, administration, utilities management, maintenance, insurance, cleaning,  etc;
• Develop & implement service standards for general service operations;
• Build responsive, cost-effective, efficient, flexible & transparent support and administration structure;
• Ensure that Government office & VF-MFI vehicle-related policies are followed, annual vehicle inspections are completed; an appropriate plate number and ownership title book for new vehicles and motorbikes are completed;
• Ensure regular review of all service contracts with service providers and vendors for competitiveness in the market so as to obtain the best value for money;
• Work closely with Finance team to ensure annual fixed asset report is prepared, updated & reconciled on regular inventory count including overseeing the disposal properties;
• Lead work space arrangements for staff & property including parking, configuring office and common areas, and organize furniture and other procurement, repairs and improvements as needed;
• Oversee maintenance activities and develops and implements standardized procedures for preventive and routine maintenance of all facilities equipment and fitting to minimize disruptions to business activity and expenditure on asset replacement;
• Monitor, supervise and ensure safety measures are incorporated into all business facilities & properties;
• Ensure safeguard of all vehicles and motorbikes to have appropriate insurance coverage against accidents, record & report accident claims for insurance company, manage the claims issues and follow up the claims until settlements;
• Ensure adequate records of fleet management/movement, history file & full data and put in place policies/structures to guard against abuse;
• Ensure vehicle/motorcycle management practice compliance with company policies and procedures;
• Ensure all VF-MFI drivers and company car/motorcycle users conform vehicles usage according to the vehicle management policy
• Ensure adherence of vehicle/motorcycles used for the intended business purpose, manage drivers’ behavior, violation of vehicle policy,  and ensure users accountability for policy violation;
• Regularly review the log sheet of vehicles, submit information of old vehicles/motorcycles, and work with garages of the institution on the assessment of vehicles for disposal and replacement decision;
• Ensure drivers/mechanics are scheduled and assigned in a proper & cost effective manner;
• Manage the proper distribution of motorcycles, vehicles & generators;
• Manage the disposal & ownership transfer activities for obsolete & nonfunctional office furniture’s, IT equipment’s motorcycles/vehicles & generators;
• Coordinate support team /drivers/technicians/mechanics/ across the institution;

Job Requirements

• A minimum University Degree in BA in Management or related field
• Must have at least 7 years of relevant experience, out of which 2 years in senior position
• Must have a clear understanding of micro finance industry and technology
• Must be proficient in Microsoft applications
• Good command of written & oral English skill is advantageous.
